TeamEx AI & Verification Notice

Key points
- How Profiles are built. From recorded interviews with TeamEx personnel, which verify what an Expert tells us and collect their experience, skills and way of working, and from sources the Expert chooses to connect. AI models help turn these into a Profile, and a TeamEx person checks every item marked as checked before it appears (Sections 1 and 3).
- AI never decides. AI Tools never interview, decline, exclude or rank an Expert, and never make or recommend a hiring decision (Section 2).
- Connected Sources. Items taken from a Connected Source show their source and date and are not individually checked (Sections 3 and 9).
- Badges. Each badge means one specific check, by the stated method, on the date shown. None is a background check or consumer report (Sections 9 and 10).
- No training, no biometrics. We do not train models on identifiable data, and no face, voice or video analysis runs (Sections 2 and 6).
- Your rights. Any Expert can see, correct or contest any item on their Profile, and any Client can ask how a search or criteria indication was produced (Section 8).
- This Notice is informational, not a contract term. It describes current practice; Section 13 says how it changes.
How a Profile is built
TeamEx Inc., a Delaware corporation ("TeamEx"), explains in this Notice, for Experts and Clients, where it uses AI Tools and where it does not, what people do at each step, what each Profile badge means, and how to request human review, correct a record or appeal. It is informational and not a contract term. Capitalized terms have the meanings in the Terms of Use, the Experts Agreement and the Client Service Agreement.
An Expert registers, creates a Profile and connects the sources they choose. TeamEx personnel then interview the Expert in the TeamEx Interviews: live, recorded video interviews that verify the information the Expert provides, such as identity and work history, and collect information about their experience, skills and how they work, think and communicate. TeamEx also reads the Connected Sources the Expert links, for as long as they stay connected. From both, TeamEx builds the Profile: skills, traits, short quotes from a TeamEx Interview, and items marked as checked. AI Tools help with that work. A TeamEx person checks every item marked as checked before it appears; information from a Connected Source appears with its source and date and is not individually checked. Experts stay anonymous to Clients until they accept an Interview Request. This Notice describes current practice; details change and are updated under Section 13.
1. Where AI Tools are used
TeamEx uses AI Tools in five places, subject to the human review in Section 3:
- Search. Converting a Client's plain-English search into existing Profile filters, which the Client sees and can change. Results are the Profiles matching them, ordered by relevance to the selected filters and criteria.
- Profile suggestions. Reading the transcript of a recorded TeamEx Interview and suggesting Profile items and a draft summary, each tied to the transcript passage it rests on. Nothing is published until a TeamEx person confirms it.
- Client-written criteria. Indicating which Experts in a result set appear to meet the plain-English criteria the Client writes, with the Profile content each indication rests on. The indication appears alongside the full Profile, never instead of it, and removes no one from the result set.
- Engagement verification. Reviewing publicly available professional information about an introduced Expert, with written confirmations from the Client and the Expert, to flag that an engagement may have started unreported. A person reviews any automated finding; the Client gets written notice and 10 business days to respond before any fee is invoiced; and the review is never used to build or change a Profile.
- Connected Sources. Taking information from the sources an Expert connects: the public profile and activity of a connected account (plus more only if the Expert chooses to make it available), the public content of a page or source the Expert verifies as their own, and what any tool TeamEx provides uploads from the Expert's own work when they choose to run it (never code or secrets). It appears on the Profile with its source and date, without a person confirming each item, and TeamEx keeps reading until the Expert disconnects.
The AI Tools are language-model and machine-learning systems run by the AI service providers in Section 5.
2. Where AI Tools are not used
- No AI interviews. Every TeamEx Interview is a live conversation with TeamEx personnel; no AI system interviews, assesses or scores an Expert.
- No AI declines. A named TeamEx person, not an AI Tool, decides whether an Expert is interviewed, published, paused or removed, and records the decision (Experts Agreement, Section 16).
- No automatic exclusion. AI Tools do not remove any Expert from search results or the Platform.
- No hiring decisions. Clients decide whom to contact, interview, hire and engage; TeamEx and its AI Tools do not recommend a hire or offer.
- No inferred characteristics or psychometric tests. AI Tools are not used to infer honesty, integrity, emotion or demographic characteristics, and there are no personality or psychometric tests.
- No biometrics. AI Tools work from text transcripts and do not analyze voice, facial expression or appearance. TeamEx creates and uses no voiceprints, face templates or other biometric identifiers from recordings or ID, and its service-provider contracts prohibit it (Experts Agreement, Section 5.10).
3. Human review
A TeamEx person confirms, changes or rejects each suggested Profile item before it is added; the Platform records who signed off each one and when. That is what the human-checked mark means. Information from a Connected Source is the exception: it shows its source and date and is not checked item by item. After publication, the Expert may review their Profile as Clients see it, ask to correct or remove any item (Experts Agreement, Sections 6.3 and 6.4), and disconnect any source at any time, which removes items derived only from it. TeamEx makes no decision about any person based solely on automated processing.
4. What data AI Tools see and do not see
AI Tools that suggest Profile items process TeamEx Interview transcripts, which may contain identifying statements the Expert made aloud. AI Tools that read Connected Sources see the content the Expert linked or made available and any tool uploads (never code or secrets). AI Tools used for search and Client-written criteria see Profile fields only: skills, traits, experience summaries, role titles and dates, short quotes from a TeamEx Interview, information from Connected Sources, stated salary expectation, country and work-permit declaration. For engagement verification they see publicly available professional information about an introduced Expert.
They do not receive: structured identity fields (name, photo, email, phone, address) for search or criteria evaluation; private messages or content the Expert has not made available; code, file contents or secrets from the Expert's computer; government-ID images or verification results; intro videos or recordings; Client payment information; or postal codes, dates of birth, graduation years or any demographic field. TeamEx personnel are trained not to carry identifying or protected-characteristic details from a transcript onto a Profile.
5. AI service providers
TeamEx sends the data in Section 4 to OpenAI and Anthropic, whose models run the AI Tools, under contracts that prohibit using inputs or outputs to train their models, limit input retention and require deletion when processing ends. Fireflies.ai records and transcribes the TeamEx Interviews under the same kind of contract. The full sub-processor list is in Section 6.3 of the Privacy Policy. TeamEx will update this Notice before adding a provider that processes transcript data.
6. Training and improvement
TeamEx does not use identifiable recordings, transcripts, Profiles, Connected Source content, tool uploads, intro videos, Client searches, Client-written criteria or messages to train or fine-tune machine-learning models, its own or anyone else's, and does not license that content for model training. It uses de-identified and aggregated data to measure and improve search quality, Profile consistency and criteria-indication accuracy, and does not try to re-identify anyone. Before ever using identifiable data for training, TeamEx will update this Notice, give at least 30 days' notice and ask each affected Expert or Client to opt in by a separate, specific request; declining has no effect on a Profile, Introductions or a Client account.
7. Bias testing and fair use
Testing. TeamEx tests whether AI Tool outputs differ for Experts by country, primary interview language and other categories for which it holds lawful, de-identified data. It compares (a) how often TeamEx personnel accept, change or reject suggested Profile items; (b) how criteria indications are distributed across result sets; and (c) whether search-to-filter conversions apply filters the Client did not ask for. Results and actions are kept for the period in the Privacy Policy, and a summary is available on request to the privacy contact. Testing runs at least annually and after any material change to the AI Tools.
Proxies excluded. If a Client's search or criteria include a postal code, graduation year, date of birth, name, photo or any proxy for a protected characteristic, the Platform declines to apply it and tells the Client why. TeamEx may decline, modify or neutralize any criterion it believes unlawful.
Work-permit rule. Clients may filter only by permission to work in a country. The Platform offers no citizenship, visa-type or sponsorship filters, and criteria naming citizenship, a visa class, national origin or sponsorship are declined. The "US work permit" item reflects an Expert's own declaration (Section 9.3) and may not be used to exclude Experts by citizenship or immigration status.
Client guardrails. Under the Client Service Agreement, Clients use filters, Profile information and criteria only for lawful, job-related purposes and handle the notice, record-keeping and bias-audit duties that apply to their own use of automated hiring tools.
8. Questions, human review, correction and appeal
Experts. To ask how a Profile item or indication was produced, request human review, or correct or remove an item (including one from a Connected Source), use the Platform or email the privacy contact in Section 13. A TeamEx person who did not create the item responds in writing within 10 business days; you may appeal within 10 business days to a second reviewer, who gives a written outcome within 10 business days (Experts Agreement, Sections 6.3 and 6.4). Requests never count against you.
Clients. To ask how a search became filters, how a criteria indication was produced or why a criterion was declined, use the Platform or email the legal notice address in Section 13; TeamEx responds within 10 business days. Reported Profile errors go to the Expert and a TeamEx person.
Everyone. If you believe an AI Tool produced an inaccurate or unfair output, say so through the same channels; a person investigates, gives you the outcome and reasons in writing, and corrects the output or process where warranted. The Privacy Policy explains further privacy-law rights to access, correct or contest automated processing.
9. What each badge means
Each item describes a specific check TeamEx made, by the method stated, on the date shown. None is a background check, consumer report, reference check or guarantee. The first four are Profile items marked as checked in a TeamEx Interview.
9.1 "Identity: checked on call"
Means: a TeamEx person checked a government-issued ID the Expert presented against the Expert, live in a TeamEx Interview. No automated face-matching or other biometric step is used.
Does not mean: that TeamEx ran any background check, confirmed address, citizenship or immigration status, or verified anything beyond that match. ID images are deleted within the period in the Privacy Policy; the result is kept.
9.2 "Work history: checked on call"
Means: a TeamEx person compared the stated work history, in a TeamEx Interview, with the documents and profiles the Expert presented or pointed to, and confirmed details in the conversation. TeamEx does not contact former employers or references.
Does not mean: that any employer confirmed titles, dates or performance, that TeamEx checked education credentials, or that the history is current after the interview date.
9.3 "US work permit"
Means: the Expert declared permission to work in the United States and chose to show supporting documents in the interview. It is the Expert's own statement.
Does not mean: that TeamEx verified immigration status, that the statement is legal advice or an immigration determination, or that a Client may skip its own I-9 or equivalent employment-eligibility process.
9.4 "Worked with US teams"
Means: the Expert told us in a TeamEx Interview that they have worked with United States-based teams, and the TeamEx person confirmed it in the conversation.
Does not mean: that any employer confirmed it, or that it indicates any time-zone, language or location commitment.
9.5 "From [source], updated [date]"
Means: the Expert connected the account, or confirmed the page or source as their own in the way TeamEx asked, and TeamEx read its public content on the date shown. The item next to the badge was taken from that source.
Does not mean: that a person reviewed the item, that TeamEx checked the content for accuracy, or that the content is current after that date. An item supported only by a Connected Source shows this badge and no human-checked mark.
9.6 The human-checked mark
Means: a TeamEx person reviewed the item and signed it off.
Does not mean: that any third party confirmed the item, or that it represents the Expert's future performance. It is a TeamEx person's first-hand observation of a conversation the Expert chose to have.
9.7 Strength levels
Means: some traits show a strength level set by TeamEx from what it collected in the TeamEx Interviews and from Connected Sources.
Does not mean: a score, a ranking against other Experts, or a prediction of performance.
10. Consumer-report posture
TeamEx is not a consumer reporting agency and provides no consumer reports. A Profile comes only from the Expert's own TeamEx Interviews, materials and chosen Connected Sources; TeamEx runs no criminal, credit, employment, education or reference background checks and relays no third-party score or report. A Client that wants a background check must get it from its own vendor, with its own stand-alone disclosure, the Expert's written consent and the pre- and post-decision notices that apply to it, and agrees in the Client Service Agreement not to use a Profile as a background check. Every Expert can dispute, correct and appeal any Profile item or badge under Section 8, and TeamEx records each dispute and outcome.
11. Regional notices
Clients have their own duties under these laws when they use AI tools in hiring; the Client Service Agreement allocates them.
Illinois. TeamEx uses AI Tools to assist the TeamEx Interviews by suggesting Profile items and summaries from transcripts, each signed off by a TeamEx person, and to take information from sources the Expert chooses to connect (Section 1). It uses no zip codes or other geographic proxy in the interviews, search or criteria evaluation. Experts are told at the start of every recorded interview that AI Tools may be used on the transcript, how they work and what characteristics they evaluate (Experts Agreement, Section 5.9). This Notice is provided for the Illinois Human Rights Act and the Illinois Artificial Intelligence Video Interview Act.
California. TeamEx uses automated tools that assist, but do not make, decisions about Experts. The California Privacy Protection Agency's automated decision-making rules take effect on January 1, 2027; this section is TeamEx's pre-use notice under them, and the access and appeal rights it describes are honored before that date. California residents may ask what information the tools used and how, request human review, correct an item and appeal through Section 8 and the Privacy Policy. Records of Profile decisions, criteria outputs and human sign-offs, and recordings and transcripts, are kept for the periods in the Privacy Policy.
Colorado. TeamEx builds and operates the AI Tools in Section 1 and makes them available to Clients; they remove no one from results, and people make every participation and hiring decision. Colorado residents may ask how an AI Tool produced an output about them, correct inaccurate information it used and appeal through Section 8. TeamEx publishes this description, its bias-testing summary (Section 7) and the data categories in Section 4 as the developer documentation and pre-use information contemplated by Colorado's artificial-intelligence law enacted as Senate Bill 26-189, effective January 1, 2027. A Client deploying the AI Tools for a Colorado role gives its own pre-use notice and adverse-decision explanation under that law.
New York City. Where a Client uses TeamEx for a New York City role, TeamEx provides the de-identified information reasonably needed for the Client's bias audit, subject to confidentiality. The Client remains responsible for its audit, audit-summary publication and the notices to job applicants required under New York City Local Law 144.
Latin America. Experts in Mexico, Brazil, Colombia, Argentina, Chile, Peru or another country in Latin America have the rights to information about, and review of, automated processing that their national data-protection laws provide, as described in the Privacy Policy; nothing in this Notice limits them.
12. Recording
The TeamEx Interviews are recorded and transcribed by Fireflies.ai with the Expert's consent, given after an out-loud and on-screen notice at the start of each interview. The Experts Agreement, Section 5, has the full terms, including declining, uses, access, all-party consent and biometrics. Recordings and transcripts are kept while the Expert's account is open and deleted within 30 days after the account is deleted, or earlier on request, as the Privacy Policy states.
13. Changes and contact
This Notice describes TeamEx's practices as of its Last Updated date. How the TeamEx Interviews, Connected Sources and badge checks are run may change; TeamEx updates this Notice when it adds or materially changes an AI Tool, provider, verification method or testing practice. Each version carries a Last Updated date and version number, earlier versions stay available in the Platform, and material changes are announced by email or in-product notice at least 30 days before they take effect.
