This Privacy Policy explains how TeamEx Inc. handles the personal information of visitors to teamex.ai and Users of the Platform. It is an informational notice; Section 1 sets out its scope and roles.
1. Scope and roles
1.1 This Privacy Policy explains how TeamEx Inc., a Delaware corporation, with its notice address at 332 S Michigan Ave, Suite 121 #5233, Chicago, IL 60604 (TeamEx, we, us) collects, uses, discloses and retains personal information of visitors to teamex.ai and all of its subdomains and pages and Users of the Platform in the United States and Latin America; we do not offer the Platform elsewhere. Capitalized terms have the meanings given in the Terms of Use.
1.2 Controller. For Expert, Client and visitor data, TeamEx is the controller, business, responsable or responsible organization under applicable privacy law.
1.3 Processor for Client-authored data. For search queries, the criteria a Client writes, and the notes and messages a Client authors in its Account, TeamEx is the Client's service provider or processor and acts on its instructions; requests about that data go to the Client. We log Client-written criteria and AI Tool outputs on our own behalf for the compliance and dispute purposes in Section 10.
1.4 Clients. After an Introduction, the Client is independently responsible for the identified Profile it receives, subject to the Terms of Use and the Client Service Agreement, and for any notice about its own automated tools.
1.5 Provider. In a Contract Engagement, the Contractor of Record Provider (currently Deel) processes the Expert's contracting, tax, payment and compliance information under its own agreement and privacy notice; TeamEx receives only what it needs to bill the Client and support the Engagement.
2. Information we collect
Purposes are in Section 5. The items listed in this Section are the main examples in each category, not a closed list; Section 13.1 states the categories.
2.1 Experts. From you: name, email, password, country, time zone and the URL of your LinkedIn profile, given at sign-up; roles, employers, dates, education, public work links and résumé if uploaded; an optional intro video; an image of a government-issued ID and the name, date of birth, document number and expiry on it; your work-permit declaration and any documents you choose to share; salary expectation; the Connected Sources you link and any verification code you place on them; what any tool TeamEx provides uploads from your own work when you choose to run it (never your code or secrets); visibility and notification settings; and correction and dispute records. Generated by use: recordings, transcripts and notes from the TeamEx Interviews; the information on your Profile, such as your skills, traits and short quotes from a TeamEx Interview, which TeamEx creates with AI assistance and which TeamEx personnel check where it is marked as checked; information taken from your Connected Sources; Interview Requests, responses, timestamps and Platform messages; and Engagement records (reported offers and starts, role, start date, Provider billing information).
2.2 Clients. From the Client: company name, website, size and stage, address, and the names, titles, emails and phone numbers of authorized users; the payment method on file (a card, or a business bank account with its account and routing details or a token for them), payment authorization, invoices and payment history; searches and the criteria the Client writes, and the Experts indicated as appearing to meet them; and notes and messages about and with Experts. From the Client, the Expert and the Provider: Engagement Orders, reported offers and starts, Hire Outcome Reports, compensation and price figures, renewal and cancellation actions. Generated by use: acceptance records (document version, timestamp, Account identifier, IP address).
2.3 Visitors and prospective Users. Name, email, company, message and scheduling details you provide; marketing preferences and unsubscribe status.
2.4 Usage data (everyone). IP address, approximate location derived from it (country or region only), browser and device type, operating system, language, referring page, pages viewed, actions taken, timestamps, crash reports and the identifiers set by the tools in Section 9.
2.5 Other sources. Your Connected Sources: for an account you connect, your public profile and public activity there, and anything more only if you choose to make it available to us; we do not read private messages or log in as you. For a page, channel or other source you add, its public content once we have confirmed it is yours. We keep reading a Connected Source for new public content until you disconnect it or close your account. The kinds of source you can connect, and the tools we provide, change over time and are listed in your account; this policy applies to every Connected Source and tool, whether or not named here. Before we add a kind of source or tool that collects a category of personal information not described in this Section 2, or uses it for a new purpose, we update this policy under Section 17. Also the public pages you link to; the Provider; a Client that reports an offer, start or Hire Outcome Report about you; our payment providers (account verification for Clients). Identity verification is a visual check by a TeamEx person in a TeamEx Interview, against the documents and profiles you present; we keep the ID image for no more than 30 days after verification. We do not buy personal information from data brokers. To verify that Engagements are reported, TeamEx may review publicly available professional information about Experts introduced to a Client; a person reviews any automated finding before any fee is invoiced.
2.6 Not collected. We do not run criminal, credit or background checks or obtain consumer reports; collect precise geolocation; or collect race, ethnicity, religion, health, sexual orientation or similar characteristics, and TeamEx personnel do not ask about them; if you volunteer such information in a TeamEx Interview, it stays in the recording and is not used on your Profile. We never collect salary history, only your stated salary expectation. We do not create or use voiceprints, face templates or other biometric identifiers from your recordings or ID, and our provider contracts prohibit it; identity verification is a visual check by a TeamEx person with no automated face-matching.
3. Recorded Interviews
3.1 Consent. Each TeamEx Interview is recorded and transcribed by Fireflies.ai. At the start of each interview we tell you, on screen, aloud or both, that the interview is recorded and transcribed and how the recording is used. You may decline; we then stop the interview without recording and cannot complete the TeamEx Interviews, because the items we mark as checked on your Profile rest on the recording. By continuing you consent to the recording and transcription, including under laws that require every participant's consent.
3.2 Use. Recordings and transcripts are used to build and support your Profile, review the quality and consistency of the TeamEx Interviews, and resolve disputes about a Profile item, a Profile or an Engagement. Clients do not receive recordings or full transcripts, only the short quotes from a TeamEx Interview shown on your Profile, which you can ask us to remove at any time. AI Tools may summarize transcripts and suggest Profile items; a TeamEx person checks every item marked as checked before publication.
3.3 Retention and deletion. Recordings and transcripts are kept while your account is open and deleted within 30 days after you delete your account. On request we delete your recordings and transcripts earlier, within 30 days, unless needed for an open dispute or a legal hold, in which case we tell you and delete them when that need ends. The full retention table is in Section 10.
4. AI Tools
4.1 Role. AI Tools (a) convert a Client's plain-English search into Platform filters; (b) read the criteria a Client writes and indicate which Experts appear to meet them, shown alongside the full Profile; (c) summarize TeamEx Interview transcripts and suggest Profile items for a TeamEx person to confirm or reject; (d) flag publicly available professional information for human review in engagement verification; and (e) take information from your Connected Sources, shown on your Profile with its source and date. Information taken from a Connected Source is not individually checked by a person. AI Tools do not remove any Expert from results, decline an Expert or make a hiring decision; Clients decide whom to contact and hire, and a TeamEx person checks every Profile item marked as checked. TeamEx makes no decision about you based solely on automated processing that has legal or similarly significant effects.
4.2 Inputs. AI Tools that suggest Profile items process transcripts, which may contain your name; TeamEx personnel are trained not to carry identifying statements onto your Profile. AI Tools that read your Connected Sources see the content you linked or made available. AI Tools for Client search and criteria see Profile fields only, never your name, photo or contact details. The models are run by OpenAI and Anthropic under contracts that bar them from training on your information and limit how long they keep it.
4.3 No training on identifiable data. We do not use recordings, transcripts, Profiles, Connected Source content, intro videos, Client searches, Client-written criteria or messages that identify a person to train or fine-tune machine-learning models; we may use de-identified and aggregated data to evaluate and improve search and Profile quality. Training on identifiable data would require your opt-in consent, withdrawable at any time, and a prior update to this policy and the AI & Verification Notice.
4.4 Your rights. You can ask for human review of any Profile item or AI-assisted output about you, an explanation of the information and main factors used, and correction (Section 12); regional rights are in Sections 13 and 14.
5. Purposes
We use personal information to: (a) create and secure Accounts and verify that Clients are businesses and that Experts are who they say they are; (b) run the TeamEx Interviews, read Connected Sources, and build and display Profiles; (c) run search, Client-written criteria, Interview Requests and messaging; (d) operate Engagements, including Engagement Orders, the Second Hire guarantee, renewal, conversion and fee calculation, and pay the Provider; (e) bill Clients; (f) send service communications; (g) send marketing email to people who have agreed to receive it; (h) review the quality and consistency of the TeamEx Interviews and Profiles; (i) prevent fraud, misrepresentation, duplicate Accounts and misuse, including re-identification attempts and automated collection; (j) keep legally required records, including automated-decision and criteria logs; (k) respond to requests, complaints and legal process, and establish, exercise or defend legal claims; (l) maintain and improve the Platform using usage data and de-identified or aggregated analytics; and (m) comply with sanctions, tax and other legal obligations. Where your region requires a legal basis for each purpose, Section 14 sets it out.
6. Recipients
6.1 Clients see your anonymous Profile before Introduction and your identified Profile after (Section 8), plus what the Engagement requires if they hire you. Clients see the information on your Profile, not the posts, repositories, videos or pages behind it, and see your Connected Source links only after Introduction. Experts see the name, title and company of the Client personnel who send an Interview Request.
6.2 The Contractor of Record Provider (currently Deel) receives, for a Contract Engagement, your name, contact details, country, role, agreed compensation and start date to contract with and pay you under its own agreement and privacy notice.
6.3 Service providers process personal information for us under written contracts that limit them to our instructions, require confidentiality and security, and prohibit selling or sharing the information or using it for their own purposes, including model training. Our sub-processors, by category:
| Category | Sub-processor |
|---|---|
| Contractor of Record Provider | Deel |
| Interview recording and transcription | Fireflies.ai |
| AI model providers (Section 4.2) | OpenAI; Anthropic |
| Payments and payment-method verification | Stripe; PayPal |
| Hosting, content delivery and security | Cloudflare; Azure, cloud hosting (stored in the United States) |
| Relationship management and email | HubSpot, ActiveCampaign |
| Analytics and marketing-site visitor identification (Section 9) | Microsoft Clarity; Bing; Google Analytics; Amplitude |
| Cookie consent management (Section 9) | Termly |
We update this table before adding a sub-processor that will process Expert or Client personal information.
6.4 Professional advisers, insurers and auditors, under confidentiality obligations.
6.5 Legal and safety. We disclose information when law, a court order, a subpoena or a regulator requires it; to enforce our agreements; to investigate fraud, misrepresentation or security incidents; or to protect the rights, property or safety of any person. Where the law allows, we tell you before responding to legal process about you.
6.6 Business transfers. In a merger, acquisition, financing or sale of assets, personal information may pass to the successor, which is bound to use information collected before the transfer only for the purposes in this policy and to honor Sections 3 and 4.3 for recordings, transcripts and Profiles collected before the transfer.
6.7 At your direction, such as when you share your Profile link.
6.8 No sale. We do not sell personal information for money, use no advertising pixels and do not disclose personal information to anyone for their own marketing. Analytics or visitor-identification trackers on our marketing site may be treated as a "sale" or "sharing" under California law; you can opt out through "Your Privacy Choices" and we honor Global Privacy Control (Section 9.3).
7. Communications
7.1 Service messages are sent by email and in-product; you cannot opt out of them while you hold an Account.
7.2 Marketing email is sent only to people who agreed to receive it or, for business contacts, where the law allows on an opt-out basis. Every marketing message identifies us and includes an unsubscribe link that takes effect within 10 business days.
8. Anonymity and employer blocking
8.1 Before an Introduction, a Client sees your Profile without your name, photo, current employer, email, phone, public work links or Connected Source links; your intro video is shown blurred and anonymized with your name cut. The Client sees your location, years of experience, skills, products built and traits. When you accept an Interview Request, only the requesting Client sees your full Profile, your contact details and your unblurred video. If you decline a request, the Client is told only that the introduction did not proceed.
8.2 Employer blocking. You name your current employer on your Profile, and that employer cannot see your Profile on the Platform.
8.3 Anonymity reduces but cannot eliminate the chance that someone infers your identity from your Profile; you can ask us to remove any quote from a TeamEx Interview you believe could identify you.
8.4 Clients are bound by the non-identification, use, confidentiality and deletion limits in the Terms of Use and the Client Service Agreement, including deletion of information about Experts they do not hire within 12 months after the Introduction or earlier on our request, except as law requires.
9. Cookie Policy
This Section is our Cookie Policy.
9.1 Categories. We use cookies and similar tools (local storage, software development kits, tags) in these categories: (a) essential (sign-in, session security, load balancing, cookie choices, fraud prevention), which cannot be switched off; (b) functional (scheduling, language and display preferences), with banner consent where required; (c) analytics (page use, errors, feature performance), with banner consent where the law requires it and otherwise opt-out through the banner or Section 9.3; (d) marketing and visitor identification (associating a marketing-site visit with a business contact for sales follow-up, which may constitute "sharing" or a "sale" under California law, Section 6.8), with banner consent and honored opt-out signals; (e) advertising cookies that show you ads on other sites: none used. The tools in each category are the analytics and consent sub-processors named in Section 6.3.
9.2 Logged-in pages. Microsoft Clarity, our session-replay tool, runs on the marketing site only and never on logged-in pages that display an Expert's Profile or a Client's searches; no advertising pixels run there either. Analytics on logged-in pages is product analytics tied to your Account identifier.
9.3 Your choices. Accept or reject non-essential cookies in the Termly banner on your first visit and change your choice at any time through the "Cookie settings" link in the footer; browser controls also work but may affect sign-in. We honor the Global Privacy Control signal and similar opt-out preference signals as an opt-out from any sale or sharing of personal information and from targeted advertising for that browser and, where we can link it to your Account, for the Account.
9.4 Retention. Session cookies expire when you close your browser; persistent cookies and analytics identifiers expire after the period shown for each tool in the cookie settings.
10. Retention
We keep personal information only as long as needed for the purposes in this policy, then delete or de-identify it; information under a legal hold, an open dispute, a regulator's request or a statutory record-keeping rule is kept until that obligation ends, and backups are overwritten on the regular cycle. Default periods:
| Information | Default retention |
|---|---|
| Interview recordings and transcripts | While your account is open; deleted within 30 days after you delete your account, or earlier on request (Section 3.3) |
| Government ID images | 30 days after verification; the result is kept with the Profile |
| Work-permit documents you chose to share | While needed to confirm your declaration |
| Profile, intro video and Expert Account data | Active Account plus 12 months |
| Connected Source content and tool uploads | While the source is connected; deleted within 30 days after you disconnect it or close your account |
| Information taken from a Connected Source | With the Profile; items derived only from a source are removed when you disconnect it |
| Client Account data | Active Account plus 12 months, except records below |
| Records of Profile decisions, criteria outputs and human sign-offs | 4 years |
| Bias-testing results and actions taken | 4 years |
| Introduction and Engagement records; billing, invoices, payment authorizations and tax records | 7 years |
| Payment-method tokens | While the payment authorization is active, then as the provider's rules require |
| Document acceptance records; correction, complaint and dispute files | While the related document, Engagement or claim can be enforced or until any limitations period runs |
| Marketing contact data | Until you unsubscribe or 24 months of inactivity; a suppression record is kept |
| Usage data and cookies | Section 9.4; then aggregated or deleted |
Deletion requests follow Section 12, subject to legal holds and the periods above.
11. Security
We use safeguards such as multi-factor authentication for access to Platform systems, encryption in transit and at rest, access controls with logging, and written security and confidentiality terms with every provider in Section 6.3. No system is free of risk, and we do not promise that unauthorized access will never occur. If a security incident affects your personal information, we will notify you and the relevant authorities as the law requires.
12. Your rights: all regions
12.1 Requests. Email privacy@teamex.ai from the address on your Account, or use the privacy request form in your Account settings, stating which right you are exercising; we may ask for information to verify you and use it only for that purpose. An authorized agent may act for you with your signed written authorization, if we can verify your identity.
12.2 Rights. Wherever you live, you can: access the personal information we hold about you and receive a copy; correct it; delete it; stop marketing; withdraw consent you gave, without affecting earlier processing; request human review of any Profile item or AI-assisted output and an explanation of the information and main factors used; and complain to us or to your privacy regulator. Experts can view their Profile as Clients see it in their Account.
12.3 Timing and appeals. We respond within the time your region's law requires and tell you if we need more time. If we decline all or part of a request, we tell you why and how to appeal; a person who did not make the original decision reviews the appeal, and if it is denied we tell you how to contact your regulator.
12.4 No discrimination. We do not deny service, charge a different price or provide a different level of service because you exercised a privacy right, and we offer no financial incentive for personal information.
12.5 Regional rights are in Sections 13 and 14; where they overlap with Section 12.2, the stronger right applies.
13. United States
13.1 California
This Section supplements the policy for California residents under the California Consumer Privacy Act, as amended.
Notice at collection. In the last 12 months we collected the following categories of personal information, described in Section 2, for the purposes in Section 5, disclosed to the recipients in Section 6 and retained for the periods in Section 10: identifiers; personal records under Cal. Civ. Code §1798.80; protected classifications (country of residence, age confirmation, and a work-permit declaration that may reveal citizenship or immigration status); commercial information; internet or network activity; coarse geolocation (country or region from IP address); audio, visual and electronic information (recordings, transcripts, intro video, ID image); professional or employment information (including public content from your Connected Sources); education information; inferences (the information TeamEx derives for a Profile); and sensitive personal information (government ID number and image, Account credentials, Client payment details, and citizenship or immigration status as revealed by your work-permit declaration). We sold no category for money; identifiers and internet activity may have been "shared" through marketing-site trackers (Section 6.8), and no other category was sold or shared. We use sensitive personal information only to provide the requested service, verify identity, process payments, prevent fraud and comply with law, purposes permitted without a "limit" right, so we offer no "Limit the Use of My Sensitive Personal Information" link, and we do not use it to infer characteristics about you.
Your rights. Beyond Section 12.2, you may know the specific pieces of personal information we collect, use, disclose, sell or share; receive them in a portable format; opt out of sale or sharing; limit the use of sensitive personal information where that right applies; and not be discriminated against for exercising these rights. We verify requests as the regulations require and respond within 45 days, extendable once by a further 45 days with notice. The "Your Privacy Choices" link in our footer serves as the "Do Not Sell or Share My Personal Information" link, and we treat the Global Privacy Control signal as an opt-out (Section 9.3). We do not knowingly sell or share the personal information of anyone under 16.
Automated decision-making technology. This Section is our pre-use notice under the California automated decision-making technology regulations. AI Tools perform the functions in Section 4.1; they remove no Expert from results, a TeamEx person checks every Profile item marked as checked, and Clients make hiring decisions. You may ask what information was used about you and the main factors behind any Profile item or criteria indication (Section 4.4); where the regulations give an opt-out right for a use with no exception, request it at privacy@teamex.ai; appeals follow Section 12.3.
13.2 Other states
If you live in a state with a consumer privacy law, you may have the rights to confirm whether we process your personal information and access it; correct it; delete it; obtain a portable copy; opt out of targeted advertising, sale and automated decisions that produce legal or similarly significant effects; and appeal a denied request. Most of these laws exclude employment, applicant or business-contact information, but we honor Section 12.2 for everyone. Opt-outs from targeted advertising or sale follow Section 6.8; we make no automated decision with legal or similarly significant effects without human involvement (Section 4.1). Requests follow Section 12.1 and appeals Section 12.3.
13.3 Illinois
Identity verification and transcription involve no biometric identifier (Section 2.6), so the Illinois Biometric Information Privacy Act is not triggered; we would comply with its notice, release, retention-schedule and no-sale requirements before any such collection. The TeamEx Interviews are recorded only with the consent in Section 3.1. If you interview for an Illinois-based position and AI Tools analyze your recorded interview, Section 3 and the AI & Verification Notice give you the notice and deletion right Illinois law provides.
14. Latin America
14.1 All Latin American residents
We collect your personal data with your prior, express and informed consent, given at sign-up and before the first TeamEx Interview, stating the purposes in Section 5; sensitive data (government ID, recordings) and Clients' financial data are collected only with express consent, and you need not provide them, though the TeamEx Interviews cannot be completed or a Client billed without them. You may withdraw consent at any time. Your data is stored in the United States with the safeguards in Section 15; AI Tools assist as Section 4 describes, and we make no decision based solely on automated processing that produces legal effects on you. Send requests to privacy@teamex.ai.
14.2 Brazil
Under the Lei Geral de Proteção de Dados Pessoais (Law 13.709/2018): (a) TeamEx is the controller; our encarregado (data protection officer) can be reached at privacy@teamex.ai. (b) Legal bases: contract performance or preliminary procedures at your request (Account, the TeamEx Interviews, Profile, Introductions, Engagements); legal or regulatory obligation (tax, sanctions, records); exercise of rights in judicial, administrative or arbitral proceedings (dispute records); legitimate interests, balanced against your rights (security, fraud prevention, analytics, quality review of the TeamEx Interviews), to which you may object; and consent (recordings, government ID, marketing email). (c) Rights: confirmation of processing and access; correction; deletion of information processed with consent or no longer necessary; portability; information about the entities with which we shared your data; withdrawal of consent; and review of decisions made solely on automated processing that affect your interests. You may complain to the Autoridade Nacional de Proteção de Dados. (d) Transfers to the United States rely on the contractual clauses the Autoridade Nacional de Proteção de Dados has approved as its standard for international transfers, adopted without alteration. (e) You may ask us for a plain-language explanation of this policy in Portuguese.
14.3 Mexico
This Section is our aviso de privacidad under the Ley Federal de Protección de Datos Personales en Posesión de los Particulares published on March 20, 2025, supervised by the Secretaría Anticorrupción y Buen Gobierno. (a) TeamEx Inc. is the responsable. (b) The data in Section 2 is processed for the primary purposes in Section 5(a) to (f), (h) to (k) and (m), necessary for the service you requested, and for the secondary purposes in Section 5(g) and (l) (marketing email and product analytics), which you may refuse at any time by emailing privacy@teamex.ai without affecting the service. (c) Transfers to Clients after Introduction and to the Provider are necessary to perform the service you requested; service providers are bound by contract to this aviso; other transfers require your consent unless the law allows them without it. (d) You may exercise your rights of access, rectification, cancellation and opposition (ARCO), revoke consent, and limit the use or disclosure of your data by emailing privacy@teamex.ai with your name, a means to reach you, a copy of an identification document and a clear description of the request; we respond within 20 days of a complete request; you may also complain to the Secretaría Anticorrupción y Buen Gobierno. (e) Changes follow Section 17; the aviso is made available at sign-up and before the first TeamEx Interview.
14.4 Colombia
This Section is our política de tratamiento and aviso de privacidad under Law 1581 of 2012. (a) TeamEx Inc. is the responsable del tratamiento. (b) We keep proof of your authorization. (c) Habeas data rights: you may know, update and rectify your personal data; revoke your authorization and request deletion where no legal or contractual duty requires us to keep the data; and request proof of your authorization. Submit queries (consultas) and claims (reclamos) to privacy@teamex.ai; we answer queries within 10 business days and claims within 15 business days, and tell you if we need the additional time the law allows. If we do not respond or you are not satisfied, you may complain to the Superintendencia de Industria y Comercio. (d) For transfers to the United States we rely on the safeguards in Section 15 and on any determination of the Colombian data authority that applies to transfers to the United States.
14.5 Argentina
Under Law 25.326, you may access your data and request its rectification, updating or deletion, and may bring a habeas data action where the law allows; the Agencia de Acceso a la Información Pública, as enforcement authority, hears complaints about non-compliance. Because Argentina does not recognize the United States as providing adequate protection, we rely on the model contractual clauses approved by the Agencia de Acceso a la Información Pública for transfers there.
14.6 Peru
TeamEx is the titular del banco de datos personales under Law 29733 and its regulations. You may exercise your rights of information, access, rectification, cancellation and opposition, and may complain to the Autoridad Nacional de Protección de Datos Personales.
14.7 Chile
We process personal data of people in Chile under Chile's data-protection law, including Law 21.719 from its entry into force. You have the rights that law provides, including rights regarding decisions based on automated processing, and you may complain to the Agencia de Protección de Datos Personales.
15. International transfers
TeamEx stores and processes personal information in the United States (Section 6.3). If you are in Latin America, your information is transferred to the United States, where privacy law may differ from your country's. We protect it through written provider contracts requiring confidentiality, security, use only on our instructions and no onward transfer without equivalent protection; the standard or model contractual clauses your country's authority has approved, where they apply (Sections 14.2 and 14.5); and the security measures in Section 11. Ask about the safeguards that apply to you at privacy@teamex.ai.
16. Children
The Platform is for people at least 18 years old. We do not knowingly collect personal information from anyone under 18; if you believe we have, contact us and we will delete it.
17. Changes
We may change this policy; we post the new version with a new Last Updated date and version number and tell Account holders by email or in-product notice before it takes effect. If a change materially reduces your rights or expands how we use information already collected, we ask for your consent where the law requires it and, for Experts, do not apply the change to recordings and Profiles already created without your opt-in.
